Office 365 Brings Benefits for Law Firms

Lawyers spend more than 80 per cent of their time out of the office, working with clients and subject experts, at home and in client offices, or reading and researching leads. Because they are constantly on the move, they often find themselves with limited access to the information they need to get their work done.

There are systems in place at many courthouses that deliver court schedules. The court clerks update these schedules and share the information with lawyers who register to receive a courtroom’s calendar. This saves lawyers from the frustration of arriving on time, for example, only to learn that their trial has been delayed. If they can’t access these calendars when they’re on the go, having the calendar information either proves rather useless or forces the lawyer to use a third party to check the calendar and relay the information . This isn’t very efficient.

Lawyers often need access to subject experts such as psychiatrists or experts for other cases. In order to provide input, these experts need to be able to see case work. While law firms want to make this information accessible to these people, they don’t want to purchase a software licence for each expert they consult (for example, assigning a psychiatrist a username and purchasing a SharePoint license so he or she can access the case library).

Remember that adage about sticking with what you know? In legal fields, ignoring that advice can prove disastrous. You need to be able to find qualified people with competencies in areas that will help your case. For example, in a family case, you may need a child protection specialist. If you can’t find the right people, the value you can bring to a case is limited.

Because case file information is very sensitive, law firms want to control who can access it. They want to maintain privacy and a high level of security. Many solutions don’t offer role-based access or security to the level that a law firm needs.

Documents typically move from current files to archived ones and then into a separate archive years down the road. When moving documents, if you don’t have an effective system in place, you risk losing information and staying compliant.

Law firms want to work on cases, not micro-manage their IT infrastructure. At the same time, the lack of predictability in costs from month to month requires law firms to closely monitor their IT expenditures, which takes away from practicing law.

Law firms want solutions that can easily expand or scale down according to the number and complexity of IT needs and fluctuations in growth.
